Receiving and sending messages

WebAsyst Mail provides an easy-to-use interface that allows you to perform all major operations with your email messages.

Mail boxes at the domain of your WebAsyst account

When you sign up for a WebAsyst account we automatically create a new mail box for you at the domain name of your WebAsyst account.

For instance, if you create account with the name myaccount the address to access this account would be: http://myaccount.webasyst.net. WebAsyst Mail allows you to create internal mail boxes based on the main address of your WebAsyst account, e.g.: alex@myaccount.webasyst.net.

If you link your own domain name (e.g. yourcompany.com) with your WebAsyst account then you will be able to create mail boxes at your own domain name, e.g. alex@yourcompany.com or sales@yourcompany.com. Read more about creating your WebAsyst mail boxes.

POP3 and SMTP access

Mail boxes created at the domain of your WebAsyst account (e.g. alex@account.webasyst.net) can be accessed using a stand-alone email client programs; e.g. Outlook, The Bat!, Eudora, etc.

Gathering messages from external mail boxes

WebAsyst Mail allows you to gather messages from multiple mail boxes which you may have at different mail systems; e.g. @aol.com, @gmail.com, @yahoo.com.

To access an external mail box you only have to know the POP3 connection parameters which are usually supplied by your mail host provider. Every incoming mail account is organized as a separate folder in the Inbox section of your WebAsyst Mail main window. Mail checking and delivering is performed automatically every minute. Composing messages

WebAsyst Mail text editor allows you to easily create well designed and readable messages. It offers all basic tools for text formatting (selecting font style and size, adding indents and colors, etc.) as well as tools for image embedding, adding hyperlinks and personalization variables into your message.

Your WebAsyst account includes several templates which you can use to create your own messages.

WebAsyst Mail templates

We have designed our templates based on major recommendations for HTML markup of email messages in order to avoid distortion of message appearance in your recipients' mail browsers. Read our article about using CSS in WebAsyst Mail.

WebAsyst Mail also allows you to create your own templates if you often need to send messages similar in style and content. You can use our included templates as a sample.

Personalizing messages

Special template variables can be used to personalize each outgoing message copy. These template variables will be replaced with the values of corresponding contact fields. For example, 'C_FIRSTNAME' will be replaced with the contact's name and 'C_LASTNAME' with the last name.

Bulk email sending

WebAsyst Mail allows you to select recipients from WebAsyst Contacts database. WebAsyst Contacts provides a number of useful features to prepare lists from contacts selected one by one, those included in a certain folder, or specific recipients chosen via a filtered search result and stored beforehand.

Send now or schedule for later

WebAsyst Mail lets you choose between sending a message immediately or at a later date and time which you specify. Scheduled messages receive Pending status and are added to a server mailing queue. This simple, yet effective and valuable feature is great for organizing a marketing campaign of several sequential newsletters or for ensuring that all your customers and colleagues receive season's or time-sensitive greetings on time.

Unsubscribe feature

You can easily add an "Unsubscribe" link to outgoing messages which will open a subscription management form where recipients can withdraw themselves from mailing lists or update their contact info. This helps you to build the trust of your customers and prevent your messages from being treated as spam.

Email sender settings

Every outgoing WebAsyst Mail message has From, Reply-To and Return-Path header fields set. You can create several “senders” and choose one of them for each message. This feature allows you to personalize senders and better manage response to your marketing campaign.

Your WebAsyst account has a “Users” section, where you can create new users and give them access rights to contact folders in your account. Every user will have a personal login and password to enter the system. Once inside, users may access only those parts to which they have been given access.

WebAsyst Mail allows separate setup of access rights to each message folder. There are several levels of access rights which may be assigned:

  • Read — user can view messages in this folder
  • Write — in addition to Read functions, user can edit, add, delete and send prepared messages within folder
  • Full — all of the above and the ability to create and delete sub-folders

User groups and access rights

It is often necessary to assign identical access rights to a number of users at one time, based on their role within a team or organization. WebAsyst offers powerful capabilities to do so. This simplifies system management where there are a large number of users from different departments or branches.

Instead of giving the necessary rights to each individual user, simply create a group, specify its access rights, and then add users to the group. Every user will inherit access rights that were set up for the group.

Each user can be a member of several groups and can have his own specifically set permissions. Effective rights will be a combination of personal and group rights of the user.
